Purpose

A management review procedure explains how laboratory leadership evaluates the continuing suitability and effectiveness of the management system. It creates a structured opportunity to consider service performance, risks, resources and improvement priorities together. The aim is not simply to present departmental updates, but to reach recorded decisions about what should change and who will make those changes happen.

A good version defines the review arrangements, participants and responsibilities for preparing information. Inputs should bring together relevant evidence from quality indicators, audits, complaints, nonconformities, external assessments, staff feedback and changes affecting the service. Include progress on previous decisions so that unfinished work remains visible. Information should be summarised in a way that supports decisions without hiding important limitations or adverse trends.

The procedure should describe expected outputs, including resource decisions, improvement actions and any changes to objectives or working arrangements. Every agreed action needs an owner, a target date and a method for checking progress. Explain how urgent decisions are handled between scheduled reviews and how outcomes are communicated to affected staff. Records should show the reasoning and commitments made, not merely provide attendance lists and copies of presentation slides.

When to use it

  • Establishing a structured leadership review cycle.
  • Replacing meetings that produce updates but few decisions.
  • Improving follow-up of resource and improvement commitments.

Tips for writing it well

  • Assign preparation responsibilities for each review input.
  • Ask presenters to identify decisions needed, not just activity totals.
  • Record action owners, deadlines and the basis for key decisions.
  • Start each review by checking previous actions and unresolved risks.
