LABORATORY QUALITY GLOSSARY

document master list

Last reviewed

Definition

A document master list is an index used to track controlled documents and their current status. Typical fields include document identifier, title, version, owner, approval date, effective date, review status, and authorized location. It may be a spreadsheet, a database view, or a report from a document-control system. The important feature is reliable identification of the documents currently authorized for use.

The list should match actual documents and working copies, including relevant external instructions. It need not duplicate every detail already maintained in a dependable electronic system. Assign responsibility for updates when documents are issued, revised, or withdrawn. A list containing expired links, inconsistent versions, or unexplained gaps creates false confidence and should be reconciled against the places where staff obtain their instructions.

Why it matters for accreditation

For accreditation, a master list helps demonstrate systematic control and makes sampling efficient. It is a useful management aid, not a substitute for approval, distribution, and withdrawal controls. Periodically test a few entries against bench copies and electronic access points to confirm that the index reflects operational reality rather than an administrative snapshot.
